Terms and conditions
“We” means the proprietors of Ford Old Hall Barn, Lynn & Nigel King
By paying Ford Old Hall barn (Lynn & Nigel King) you are agreeing that you have read these Terms and Conditions and agree to be bound by them.
1. THE CONTRACT
The Contract for a short-term holiday rental will be between the owner of Ford Old Hall Barn (referred to as “us” or “we”) and the person making the booking and all members of the holiday party (referred to as “you” or “your”) in the following booking conditions. UK law will govern the Contract. The contract of hire is not effective until we have processed the deposit. The contract will be subject to these booking conditions and must be complied with. The party leader must be at least 18 years of age at the time of booking.
2. BOOKING
We accept payment by Bank Transfer, Cheque or via our Online Booking System.
50% deposit is payable at the time of booking, the remaining balance is due 8 weeks prior to arrival. If your booking is placed within eight weeks of your stay, full payment is required at the time of booking.
If you are still making a decision, we can hold a provisional booking for up to five days if the stay is more than three weeks away.
Bookings made on our online booking system are provisional. Once your payment has been received in cleared funds, we will send you a booking confirmation and ask that you let us know within 5 days if any of the details are not correct.
2.1. BOND DEPOSIT
A £50 bond per person is to be paid by BACS at least 5 days prior to arrival. This bond is held on deposit and returned within 5 days of the end of the stay provided the barn is left clean and tidy and there is no damage.
3. IN THE EVENT OF CANCELLATION
Cancellations must be immediately notified to us in writing via email to the email address on the booking Confirmation Note as soon as possible. The effective date of cancellation is when written notification is received by the Property Owner.
The treatment of a cancellation will depend on the reason for the cancellation; date the booking was made and when the cancellation is made.
For ALL Bookings regardless of booking and cancellation date:
National Covid-19 Lockdown – In the event of a national lockdown, where you are unable to travel, and we are prevented from opening, you will receive a full refund.
Regional/Local Covid-19 Lockdown – In the event that your address is put into Regional/Local lockdown, rendering you unable to travel, you will receive a full refund. Please note that this applies only to the address given by the lead booker at the time of booking and does not apply to party members at a different address unable to travel due to local lockdown. In the event we are put into a Regional/Local lockdown and are unable to open, we will offer a full refund.
Cancellations by the Holidaymaker For Bookings Made From April 4th 2022
If you cancel due to the inability (or the inability of any, some or all of your party) to stay at your hired cottage for any other reason. This includes, but not limited to, illness (including Covid), a requirement or recommendation to self-isolate or quarantine, a call to jury service, incarceration, change in personal or work circumstances, family emergencies, travel delays, vehicle breakdown, and delays with public transport. These remain at your risk and do not give rise to a right to cancel or receive a refund unless we are able to re-let the property, other than according to the sliding scale below.
You are strongly recommended to take out UK travel insurance to cover these eventualities. See options below. If you chose not to take out UK travel insurance, then you accept responsibility for any loss that you may incur due to your cancellation.
Refunds
All refunds will be subject to deduction of a non-refundable administration fee of £100 to cover our costs and third party costs related to the cancellation and remarketing (these costs include our admin costs, re-marketing costs, bank fees, accounting fees and agency fees or commission payments).
A cancellation charge will be made based on the number of days notification of cancellation given by the person making the booking for Ford Old Hall Barn and whether the barn is re-let for the period of the cancelled stay.
Ford Old Hall Barn will apply the calculations shown in the table below to determine the amount of the refund payable to you. If the barn is not re-let, this will be a percentage of the total cost of the holiday. If the barn is re-let, the amount refunded will be the re-booking value (which may be less than you paid) less the non-refundable fee of £100. For the purposes of this condition, the total cost of the holiday shall include any extra items ordered by the holidaymaker.
Part Cancellations – If any person in your party needs to cancel, this will not affect the total cost of your booking. In addition, no refunds are payable in the event that you cut short your stay.
Refunds for cancellations more than 8 weeks out will be made within 5 working days of the date of cancellation, which must be in writing (via email). Refunds for cancellations made between 35 and 55 days will be made within 5 working days of the earlier of the rebooking date, or the start of the holiday (as the refund amount will depend on the rebooking value).

Cancellation by Ford Old Hall Barn
If Ford Old Hall Barn has to cancel your booking for any reason, including a Force Majeure event, meaning any of the following circumstances which may hinder or prevent the performance by us of the Contract, you will be refunded in full.
(a) acts of God, flood, drought, earthquake or other natural disaster;
(b) epidemic or pandemic;
(c) terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations;
(d) nuclear, chemical or biological contamination or sonic boom; (e) any law or any action taken by a government or public authority, including without limitation imposing a restriction, prohibition, or failing to grant a necessary licence or consent;
(f) collapse of buildings, fire, explosion or accident;
(g) any labour or trade dispute, strikes, industrial action or lockouts;
(h) non-performance by suppliers or contractors; and
(i) interruption or failure of utility service, and the period of closure covers you booking
If we have to terminate your holiday early for the above reasons you will be refunded part of the booking fee based on the time remaining of the booking. No additional compensation, expenses or costs will be payable.
Cancellation Insurance
We strongly recommend that you take out suitable insurance which will cover you for possible cancellation of your UK holiday. There are several suitable options which include cover for COVID-related cancellation on comparison sites such as www.gocompare.com, where you can check which policy will be best for your particular requirements. We are not selling, promoting, endorsing or recommending any particular product, and do not benefit financially or have any formal relationship with any of your providers.

4. CHECK IN AND DEPARTURE
You should not arrive before 5pm on the commencement date and leave by 10am on the day of departure. Failure to do so may result in you being charged a further day’s rental. You must not use the property except for the purpose of a holiday during the holiday period, and not for any other purpose or longer period. The agreement to stay in the property for the holiday period, does not create the relationship of Landlord and Tenant between the parties. You shall not be entitled to a new tenancy, or to any assured short hold or assured tenancy or any statutory protection under the Housing Act 1988 or other statutory security of tenure now or at the end of the Holiday Period.
5. BREAKAGES AND DAMAGE
At the earliest opportunity we ask that you notify us of any breakages or damage, and if anything in the barn is not functioning as you would expect. Minor accidental damage such as broken crockery will not be charged for, however larger items and damage in general to your accommodation will be charged. If you lose a key we will replace it upon you paying for the cutting of a new one.
6. CLEANING
Ford Old Hall Barn must be left as it is found – in a clean and tidy state in order to help us to maintain our high standards for those guests following you.
7. GUESTS – MAXIMUM OCCUPANCY
The number of guests cannot exceed the maximum number advertised for the property which is up to 4 adults and an infant in the carry cot. We reserve the right to refuse admittance if this condition is not observed. If you wish to invite additional visitors to visit you at Ford Old Hall Barn, please ask us. Visitors are not permitted to stay overnight and the total people at Ford Old Hall Barn must not exceed 4 adults and one infant at any time as stipulated in the terms of our insurance.
8. CONSIDERATION FOR OTHERS
Guests are requested to respect the peace and safety of everyone on and off site. No offensive behaviour such as loud swearing, nudity etc. and no dangerous, threatening, unlawful or illegal behaviour. You must not use the property for any dangerous, offensive, noxious, noisy, immoral activities or conduct any act that may be a nuisance or annoyance to the owner or other neighbouring properties.
9. THE HOT TUB AT FORD OLD HALL BARN
You and your group agree to abide by the Terms and Conditions for The Hot Tub at Ford Old Hall Barn. You take responsibility for reading these rules before using the facilities. Children under the age of 16 must be always accompanied by an adult and it is recommended that children under the age of 5 do not use the hot tub ( young children are less able to regulate their body temperature, and their skin is more sensitive to chemicals, they have less reliable control over their bladder and bowels, they have an increased drowning risk if they are unable to stand in the hot tub).
- HOT TUB TERMS AND CONDITIONS
- The owner of Ford Old Hall Barn is not liable for any accident or injury occurring at the premises save where the accident or injury is as a result of the negligence or wilful misconduct of the owner
- Do not enter the hot tub wearing fake tan which destroys the filter and interferes with the chemical balance of the water
- If the hot tub requires a deep clean during your stay as a result of mis-use you will lose the use of the hot tub for a couple of days as the hot tub will need to be cleaned, re-filled and the water heated back to the required temperature
- It is advisable to take a quick shower before entering the hot tub – body creams etc will cause foaming in the hot tub
- Use the plastic wine, beer & tumbler glasses provided when using the hot tub – if you use glass and it breaks and enters the hot tub it will need to be emptied, cleaned and re-filled rendering it out of use for up to 48 hours
- Guests take full responsibility for their own safety whilst using the hot tub and liable for any injury incurred
- Take care when entering the hot tub, the steps are non slip however you may get the area wet so it may become slippery
- By paying in full for your stay you are accepting to abide by the terms and conditions for use of the HOT TUB at Ford Old Hall Barn and agreeing to abide by the rules of use
10. WIFI
Wi-Fi is provided for the guest’s reasonable use. You agree to reasonable and lawful usage of this service.
11. SMOKING
Please no smoking in the cottages and grounds of Ford Old Hall Barn
12. OWNERS ACCESS
The owners reserve the right to enter Ford Old Hall Barn for purposes of inspection or to carry out any necessary repairs or maintenance.
13. DOGS & PETS
We do not allow dogs or any other pets at Ford Old Hall Barn
14. SAFETY
The use of Ford Old Hall Barn and the Hot Tub and any other amenity that is provided by the Owner is entirely at the visitors’ risk and no responsibility can be taken for any loss, damage or injury to persons who make use of them, nor to any property of visitors. All of the adult visitors shall be jointly responsible for the safety of any children staying at the property and to maintain adequate supervision of them at all times. All cars and other vehicles are parked entirely at the visitors’ risk.
The Owner takes no responsibility for any loss or damage to any car, other vehicle and their contents.
15. LIABILITY AND THIRD PARTY SERVICES
Ford Old Hall Barn, its owners and representatives shall not be liable to you or your party for loss or damage to property howsoever arising unless demonstrably caused by our negligence or wilful misconduct or that of those for whom we are legally responsible. You must take all necessary steps to safeguard yourselves and your property.
If you wish to engage any third party to perform any service (including by way of example private catering, childminding or entertainment services) at Ford Old Hall Barn you must obtain our written permission. Such permission should be requested in advance of your stay with details of the entity you intend to use to perform the service, the service to be performed and details of their public and employer’s liability insurance. Consent will only be given where we and our insurers are happy that the appropriate risks have been covered. We will not accept liability for the services provided (or failure to provide such services) by any third party supplier or business used by you in the course of your Stay (regardless of whether they are recommended or referred by us). This will not apply where we have been negligent or dishonest in this regard.
16. LOST PROPERTY
In the event of property being left at the cottages best efforts will be made to locate the items and arrange return at the guest’s expense, minimum charge of £10 to cover postage charges.
17. CANDLES, FIREWORKS AND DRONES
Candles with naked flames are forbidden in Ford Old Hall Barn due to fire risk. Fireworks and drones are not permitted on site.
18. ELECTRIC VEHICLE (EV) CHARGING
An EV charging point can be used by guests. The use will be calculated using our hourly kilowatt rate and standing charge (pro rata calculated on hours used) and the user will be charged for the full amount of electric used. We do not allow EV charging from Ford Old Hall Barn itself
19. COMPLAINTS
Every effort has been made to ensure you have an enjoyable stay. However, if you have any problem or cause for complaint please raise this with the Owner during your stay, so that they can try to resolve the matter for you, where reasonable and time allows.
20. COVID-19 SYMPTOMS
If a guest arrives with or develops COVID-19 symptoms during their stay they must advise Ford Old Hall Barn owners by telephone and return home to self-isolate following Government Guidelines. We adhere to Government guidance on reporting and managing a potential infection case.
21. CONTRAVENTION OF OUR TERMS AND CONDITIONS
Ford Old Hall Barn owners reserve the right to require the guests to vacate immediately, without recourse to compensation, should any of our Terms and Conditions be contravened.
